What is ORDERS?

An ORDERS (Purchase Order Response Message) message is an EDI message that is used by customers to electronically order goods or services from their suppliers. The supplier will automatically read the order data into its ERP system. Depending on the agreements made, the ORDRSP (Orders response) will be returned immediately (synchronously) or at a later moment (asynchronous). The advantage of synchronous processing is that the customer knows immediately whether the order has been accepted and can anticipate this.

How does an ORDERS message work?

The customer will create orders in his ERP system that will be made available for EDI. The EDI system will collect the orders, translate them into an EDIFACT ORDERS message and send it to the right supplier via a pre-agreed data communication method.

The supplier confirms via an ORDRSP message to the customer whether he accepts, rejects or can only accept the order with changes. With a DESADV message, the supplier informs the customer that the order has been fully accepted and will be fully shipped.

ORDRSP or APERAK?

Sometimes buyers will expect their suppliers to return an APERAK message confirming that their order has been correctly received. However, customers often want confirmation from their supplier that the order has actually been accepted. The supplier will use the ORDRSP message for this feedback.
